Office Manager

About the Position

Valitas is seeking an energetic, curious and driven person to collaborate with our close-knit team in a fast-paced environment. The position requires a unique individual who prefers a diverse set of tasks and is enthusiastic to jump into new initiatives. Our full-time team tripled in 2017 and is expected to reach 20 by the end of this year. We require the right person to support our growth. Our meritocratic culture sets this opportunity apart:

This is an important role for our firm and the successful person will form part of our core leadership team.  The expected progression for this role is to Vice President, Operations and then Chief Operating Officer (COO).  As our Office Manager, you will be responsible for:

  • Human Resources:
    • Supporting recruiting efforts
    • Maintaining relationships with key schools and organizations
    • Administering payroll
    • Onboarding/Offboarding employees
  • Operations:
    • Maintaining our databases and CRM
    • Managing vendors to reduce expenses and improve operating efficiency
    • Stocking and maintaining an inventory of office and kitchen supplies
    • Building and leading the operations team as the firm grows
  • Finance:
    • Book keeping and monthly reporting using Quickbooks
    • Managing invoicing, accounts payable and company banking
    • Develop and manage the office operating budget
  • General:
    • Execute the marketing plan, including coordinating and planning external events and preparing company mailings
    • Organizing electronic and paper files
    • Scheduling client/prospect meetings and calls, including booking of travel and venues
    • Fielding general inquiries
  • Other tasks (prior experience is not mandatory):
    • Managing information flow on M&A and financing projects, particularly regarding NDAs
    • Troubleshooting IT issues and arranging timely resolution of issues
    • CRM and campaign analytics
    • Website, phone and other systems administration
    • Social media strategy and execution of our social media plan

About the Successful Candidate

  • Up to two years of administrative experience is an asset, but not required.  We prefer to hire people with the right attitude and attributes who want to learn
  • Exceptionally diligent, curious and drawn to challenges
  • Tenacious and rigorous, carrying tasks independently to completion
  • Detail oriented and meticulous in producing work product
  • Excellent administrative and organizational skills
  • Tech-Savvy: Proficient in Word, PowerPoint, QuickBooks and G Suite
  • Previous experience in a financial or professional services environment is preferred
  • Demonstrated interest in being part of an entrepreneurial culture


Annual salary: $50,000 + discretionary bonus and equity participation opportunities

The Position

Valitas is seeking to build a core foundation of Investment Banking Coverage Associates to build and nurture the firm’s pipeline. To support our growth while maintaining our culture, our ideal candidate is somebody who is interested in growing with us long term. We are not necessarily looking for the ‘slick Rick’ salesperson, we are looking for a delicate balance between a thoughtful and analytical person, with someone who is courageous enough to converse and ‘pitch’ high-powered individuals.  That person will:

  • Provide personalized follow-ups of leads, using both telephone and email pursuit, striking the right balance of persistence and respecting the prospect’s time.
  • Make 30-50 outreaches per day - turning gatekeepers into allies – building trust.
  • Schedule introductory appointments, primarily phone calls, for Partners.
  • Leverage our customized CRM, social selling and other advanced techniques to compile critical account and market intelligence to improve the quality of our engagement with clients and prospects.
  • Help develop outreach strategy and design targeted campaigns.
  • Help us build and continually improve our rapidly-evolving lead-generation capabilities, leveraging data-driven targeting, best-in class processes and technology.

Career progression with Valitas is based on merit and performance, never seniority. As a person grows with us, they will also see increases in responsibility and commission compensation.


This is the ‘big league’ of sales, and as such, you will be compensated accordingly. Base compensation is $60,000 per year. Bonus compensation is performance-based and uncapped. Total target compensation in your first year is $100,000 and that number could grow to $200,000+ in your second year, based on attainable targets.

The Successful Candidate

While prior success in a B2B business development role is an asset, we are most interested in finding a person for this role who has the right attitude and personal attributes.  We provide excellent training and support to ensure success in this role for the right person.  However, demonstrated customer service focus and strong relationship building skills with mature decision makers are a must.
